LIVE: BOOKING AND ADVANCING – WHAT DOES IT ALL MEAN?

We will be pulling apart the booking and advancing process to make sure you understand every element, making informed and empowered decisions, developing a professional understanding of what is expected of you and the promoter/venue you are working with. For clarification, advancing is the name given to the preparation and information sharing in the lead up to your gig. You want the advancing process to be as smooth as possible, with the least amount of back and forth, creating confidence that everything will be alright on the night. This is important so that the only thing you need to focus on is your performance and the venue team have got all the information they need for you to do what you do best.

We will be using Future Yard’s processes as an example, pulling in additional information relevant to festivals and other promoters. We will also ensure that you can effectively work with promoters with less experience, who may have a really great vision for a line-up but may lack the knowledge to communicate effectively, ensuring that you can fill the gaps that they may leave and make a success of your appearance.

From a booking perspective, it is important that we understand different fee structures. You may have encountered terminology already that is every day language to agents and promoters and gone, what? We’ll make sure you are fully aware of what this all means, so that you don’t agree to things that are not fully understood. Alongside deconstructing offers, we will also have a look at budget sheets and how break-evens are calculated, as this comes into play on headline shows and can effect how much money you come away with.

The final part of the process is invoicing, something that we think is simple but many mistakes are made. We’ll go through this to ensure there are absolutely no hold ups in getting paid and also discuss what to do if you have overdue gig fees that should be in your bank.

This session will give you so many tips for best practice that you will the most dreamiest bands and artists to deal with, helping you with repeat bookings and developing key relationships that help you do bigger and more impactful shows as your audience builds. Those booking shows share information with one another – so if you do well, you could benefit from word of mouth recommendations leading to further opportunities.
